Receptionist

Full-time, based in Brussels

The Community of European Railway and Infrastructure Companies (CER) has a vacancy for the position of Receptionist.

General responsibilities:

Reporting directly to the Head of Administration and working closely with the Administration Assistant, the receptionist attends to visitors, deals with inquiries on the phone and face to face and is in charge of the meeting rooms.

Key responsibilities:

  • Reception, telephone and mail:
    • greeting, welcoming, and directing visitors appropriately
    • operating the switchboard in a warm, confident and happy manner
    • dealing with queries from visitors and staff
    • sorting and distributing internal and external mail, centralising and stamping outgoing mail, follow-up of courier and taxi services
    • maintaining access to the security system, monitoring visitor access and maintaining security awareness
    • reception of deliveries
  • Meetings & events
    • organising of web conference and meeting room bookings
    • managing computerised booking system
    • booking catering facilities - organising lunches and liaising with caterers
    • preparing of meeting rooms: technical installations, set-up, printing of meeting documents
    • assisting before and during events (badges, name plates, mailings, ...)
  • Administration
    • providing general administrative and clerical support
    • controlling inventory relevant to reception area and canteen and placing orders
    • monitoring and recording petty cash payments
    • basic bookkeeping duties
    • updating databases
  • Travel
    • researching best transport prices
    • making train reservations, ordering train tickets and FIP coupons, organising their delivery

Required skills and qualifications:

  • bilingual English/French, another major European language is considered a plus
  • good communication skills good with computer systems, Microsoft Office, internet research
  • well-organised and efficient, able to multitask while remaining attentive to detail
  • autonomous, problem solver, remains calm under pressure
  • service minded with good team spirit
  • positive attitude, friendly and polite
